This notice explains how Hotel Leeton handles information submitted through this booking website, including table bookings, event bookings, function enquiries, payment requests, and staff account access.

Information we collect

We collect information you provide when you use this website, including:

  • Your name, email address, and mobile number.
  • Booking details such as date, time, party size, preferred area, and guest notes.
  • Function enquiry details such as event type, preferred date and time, guest count, package interest, budget range, and notes you choose to share.
  • Event booking and deposit information, including booking status, payment status, payment links, and related message history.
  • Marketing consent preferences, if you choose to receive venue news or offers.
  • Basic technical and security details needed to operate the service, such as request timestamps, anti-spam checks, and audit records for staff actions.

How we use it

We use this information to:

  • Create, manage, confirm, change, and cancel bookings.
  • Contact you about reservations, reminders, deposits, events, and function enquiries.
  • Help staff plan seating, service, waitlists, guest history, and venue operations.
  • Process deposit or prepayment requests through our payment provider.
  • Respond to questions, support requests, and function follow-up conversations.
  • Prepare operational reports for venue management.
  • Send marketing messages only where you have opted in.
  • Protect the booking system, investigate errors, and maintain audit records.

How it is stored and shared

Booking, enquiry, guest, message, deposit, and audit information is stored in the venue booking system database. Access is limited to authorised venue staff and administrators who need it to manage bookings and operations.

Some trusted service providers process information for specific parts of the service: Clerk supports staff authentication, Stripe supports payment checkout, Resend supports email delivery, Twilio supports SMS delivery, and Supabase hosts the application database and related storage. Card numbers are handled by Stripe; this application stores payment status and payment references, not full card details.

Information is kept for as long as reasonably needed for bookings, guest service, reporting, dispute handling, legal obligations, and venue record keeping. We use standard platform security controls, HTTPS, protected environment variables, and role based staff access to reduce unauthorised access.

Your choices

You can choose not to provide optional information such as mobile number, preferred area, special requests, or marketing consent. Some details, such as name and email, are required so we can manage and confirm your booking or enquiry.

You can ask us to update, correct, or delete your information where we are able to do so. We may need to keep some records where required for legitimate business, accounting, dispute, security, or legal reasons.
